Office Manager (Part Time)

Here we grow!  Anne Vaughan Designs is looking for a qualified person to join our team to manage the administrative duties in our growing jewelry design and manufacturing business.

This position requires a person that:

· has proven experience managing office situations, including prioritizing workflow tasks with a close attention to detail;

· has shown they can developed administrative systems to improve the efficiency of our operation, and are proactive in problem solving;

· has relevant and applicable computer skills, including efficient and accurate data entry;

· a team player with a positive attitude and be motivated to grow with a small company and thrive in a team environment;

· brings a customer service-oriented demeanor when interacting with customers on incoming calls

The position duties and responsibilities include:

· Financial report generation and bookkeeping in Quickbooks

· Data Entry of all retail and wholesale orders

· Pulling orders

· Invoicing & Payment on orders

· Packaging & Shipping

· Accounts Receivable, inc following up with delinquent accounts

· Payments on accounts & deposits

· Managing repairs and returns process

· Website order and shipping management

· Clerical, including filing

· Change log updates entered into QB

· Logging: errors, returns, repairs, checking daily production #s

· Email subscriber list management

· Inventory management, including adjusting inventory levels based on daily production, conducting physical inventory, updating item changes, entering new items, etc

· Quality Control on items & for each maker

· Develop and maintain lean ordering system for office/studio supplies

· Report and office/studio document creation

· Customer Service

· Managing incoming website and social media questions, requests, orders

Specific skills required for this position:

· Intermediate to advanced skills in Microsoft Office (specifically Word and Excel) and in Quickbooks

· 2+ years applicable experience in managing office situations

· Efficient workpace and high level data entry and typing skills

· Ability to take various tasks, prioritize them and efficiently execute until completion

The position is 24-32 hours per week with the capacity to grow into full time. Hours and workdays can be flexible within the Mon-Thursday 9-6 timeframe. The pay rate is hourly and is commensurate with experience.

Our studio is based in Floyd, Virginia (approximately 8 minutes northeast of the town of Floyd).
